1. General Provisions
1.1. These terms and conditions govern the purchase and use of tickets for the “Warsaw AI Summit” event, changes of participants and cancellation of participation. Unless otherwise stated in a specific purchase offer, the event organiser and ticket seller is UAB Confinn Ltd (hereinafter the “Organiser”).
1.2. Before placing an order, the Buyer has the opportunity to review these terms and conditions. The Buyer confirms acceptance when purchasing tickets, in accordance with the procedure of the selected registration system.
1.3. The event will take place on 6 April 2027 at the EXPO XXI WARSAW congress centre in Warsaw. The days of attendance, access to sessions and other benefits provided by a ticket depend on the category purchased and the offer published at the time of purchase.
2. Ticket Reservation and Purchase
2.1. Tickets may be purchased through the electronic registration or ticketing system designated by the Organiser, or under an offer made directly by the Organiser. When registering, the Buyer must provide accurate and sufficient information needed to process the order and register participants. Personal data are processed in accordance with the Organiser’s privacy policy.
2.2. For group orders or individual arrangements, the Buyer may contact the Organiser using its officially published contact details. An order is considered confirmed in accordance with the payment and confirmation conditions stated on the invoice, in the offer or in the ticketing system.
2.3. Payment methods, payment deadlines, ticket delivery arrangements and invoicing procedures are specified at the time of purchase or in the Organiser’s offer. VAT invoices are issued in accordance with applicable laws and sales procedures.
2.4. Participants requiring assistance due to a disability or individual accessibility needs are asked to contact the Organiser in advance. The Organiser will agree on reasonable attendance arrangements, taking into account venue capabilities and applicable laws. Special ticket prices do not apply automatically unless announced separately.
2.5. Photographs and video recordings may be taken during the event. Information about the purposes, legal bases and methods of processing image-related data, and about participants’ rights, is provided in the Organiser’s privacy policy and, where necessary, in additional notices at the venue. Purchasing a ticket does not, in itself, constitute consent to every possible marketing use of a participant’s image.
3. Use of Tickets
3.1. Each ticket admits one participant, subject to the selected ticket category and its period of validity. An electronic ticket may be checked upon entry, and a participant badge or other identification may be issued.
3.2. Where a ticket is issued in a named person’s name, only the person named on it is entitled to attend. Changes to participant details are governed by clause 4.1. Transferring a ticket or badge to another person without agreement with the Organiser may result in refusal of admission.
3.3. Forging, unlawfully copying or distributing tickets is prohibited. Transfer or resale of a ticket, where contrary to the terms of that ticket, is permitted only with the Organiser’s prior consent.
4. Participant Changes, Cancellation and Refunds
4.1. The first and last name of a registered participant may be changed no later than 5 calendar days before the event begins, i.e. by 1 April 2027, by contacting the Organiser. The information required to register the replacement participant may be requested.
4.2. If participation is cancelled at least 60 calendar days before the event begins, 100% of the ticket price paid will be refunded, except for lawful exceptions clearly specified in advance.
4.3. If participation is cancelled at least 31 but fewer than 60 calendar days before the event begins, 50% of the ticket price paid will be refunded.
4.4. If participation is cancelled 30 or fewer calendar days before the event begins, the ticket price paid is non-refundable, unless mandatory provisions of law require otherwise.
4.5. The Buyer must submit a request for cancellation or a participant change in writing to the Organiser’s official contact address. Deadlines are calculated by reference to the first day of the event, 6 April 2027.
5. What the Ticket Includes
5.1. The benefits included with a ticket (attendance days, access to talks, practical sessions and the exhibition area, catering, recordings and additional services) depend exclusively on the purchased ticket category and the specific offer. Benefits not listed in the ticket description are not automatically provided.
